This position is responsible for day-to-day support to the Pipeline team. This individual must have strong attention to detail and maintain confidentiality at all times. Critical for success are strong verbal and written communication skills, as well as the abilities to multitask, prioritize and project a professional image.

The essential duties and responsibilities of the position include, but not limited to:

+ Maintain and promote a strong safety culture for all employees, vendors, and customers and follow all safety policies, procedures and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.

+ Provide administrative needs for department bidding; schedule meetings, print and copy bid packages, maintain paper and electronic bid files, process mail, assist with correspondence, maintain standard department materials and manage distribution.

+ Work with Bid Specialist and Project Mangers in preparation of bid packages.

+ Work with assigned Pipeline Group (s) to facilitate bidding process from start to finish with minimal supervision.

+ Facilitate Request for Information (RFI) process between Project Managers and customers.

+ Coordinate calendars for bid meeting and deadlines.

+ Assist with the preparation of customer RFI's and bid prequalifications.

+ Work with corporate and divisional support on a variety of clerical related tasks.

+ Other duties as assigned.

Qualified candidates must have at least 1 to 3 years (if assistant), 3 to 5 years (if Coordinator) of related administrative experience and possess a high school diploma or equivalent. In addition, demonstrate proficiency in Microsoft Excel. Notary Public licensure or the ability to be trained and licensed as a Notary Public is required.One must able to handle multiple projects at one time and a fast paced work environment, have excellent organizational skills, and demonstrate effective verbal and written communication.
